The current challenge

How it is done today, and why it is no longer enough

Companies that try to contact a lead within the first hour are nearly seven times more likely to qualify it, according to Harvard Business Review; even so, the average response time was 42 hours.

  • Late response
  • Follow-up that gets dropped
  • Inconsistent qualification
  • Hard-to-coordinate scheduling
  • Incomplete records
  • After hours

How work evolves

Your team moves from operating to deciding

The capacity the agent frees up goes to analysis, decisions, relationships, exceptions, improvement and innovation.

  1. No more low-value manual tasks

    • Checking forms and inboxes for new leads
    • Calling leads who do not answer over and over
    • Asking the same qualification questions in every conversation
    • Matching schedules between leads and sales reps by message
    • Transcribing conversations and qualifications into the CRM
  2. The team adds value to the operation

    • Arriving at every meeting with the lead's context and qualification
    • Spending their time on the opportunities with the most potential
    • Refining the qualification criteria with what they learn in meetings
    • Coordinating with marketing on which campaigns and channels bring better leads
    • Personally handling the special cases the agent escalates
  3. Your team's professional growth

    • Qualification strategistDefines the ideal customer profile, the qualification framework and the agent's scheduling and escalation rules.
    • Agent supervisorReviews conversations and qualifications, adjusts rules and governs the agent's knowledge.
    • Conversion analystMeasures how many leads advance by channel and campaign, and proposes improvements to the process.
Enterprise knowledge

Agents are only as good as the knowledge and context they handle

It is one of the great challenges of enterprise artificial intelligence (AI): an agent without clear rules, reliable data and business context makes mistakes or stops. That is why knowledge is prepared, governed and improved as part of the project.

  • Ideal customer profile and qualification criteria
  • Discovery questions by segment and product
  • Portfolio, value proposition and answers to frequently asked questions
  • Common objections and how to respond to them

The knowledge this agent handles

  • Assignment rules by territory, segment or product
  • Sales rep availability and scheduling rules
  • Contact policies: channels, hours, retries and exclusions
  • Cases that require human review before scheduling

60%

of AI projects without AI-ready data will be abandoned through 2026, according to Gartner. Gartner, “Lack of AI-Ready Data Puts AI Projects at Risk,” February 2025

Base systems for agents

If you do not have the base system, we provide reduced versions of GIITIC modules with the capabilities the agent needs to work.

  • CRM for agentsReduced version of GIITIC CRM: leads, accounts, contacts, activities and opportunities where the agent records its work.
  • Applications and ERP
  • APIs and web services
  • Databases and files
  • MCP (Model Context Protocol), when applicable

An agent needs software tools to query information and carry out actions. Without them, it stays a conversation. That is why we cover both paths: connecting to what you already have or giving you what you are missing.

Frequently asked questions

Questions about Smart Lead Qualification

Which channels does the artificial intelligence agent use to contact leads?
WhatsApp, phone, email and other channels your company uses, such as professional networks, subject to the availability and terms of use of each channel. The specific channels are confirmed when the project is scoped.
How does it decide whether a lead is qualified?
With the qualification framework you define: fit with your ideal customer, need, budget, authority, urgency or other criteria of your own. Each qualification is recorded in your CRM with its answers and the criteria applied.
What happens if the lead asks for something the agent can't resolve?
Nothing goes outside your rules. If the lead asks for special terms or prices, an opportunity exceeds the defined amount or the account already has an owner, the agent escalates the case to the right person with the summary of the conversation and its recommendation; that person decides and the agent continues.
Do I need to have GIITIC CRM or GIITIC ERP?
No. The agent integrates with your current CRM or ERP through APIs, services, files or MCP where applicable. If you don't have the underlying system, we provide agent modules with the capabilities it needs.
How does it adapt to my criteria and commercial policies?
The agent is prebuilt, but our consultants configure it with your ideal customer, your qualification questions, your assignment and scheduling rules and your contact policies, and test it with real conversations before putting it to work. That is the knowledge it needs; we help you maintain it with the Workforce AI tools.
Who controls what the agent does?
Workforce AI centralizes permissions by agent, human approvals, traceability of conversations and decisions, statuses and errors, audit and usage control. You define what it schedules on its own and what requires approval.
How long does implementation take and how much does it cost?
It depends on your channels, systems, volume and rules. Starting from a prebuilt agent avoids developing from scratch. First we talk and scope it with you; then we prepare the proposal. We don't publish prices.
What happens to my sales team?
They stop chasing responses, repeating qualification questions and matching schedules, and spend their time on meetings with qualified leads and on special cases. The agent expands their capacity; it does not leave them without control.
