Smart Plan Tracking

See how plan tracking is evolving in organizations with AI agents.

  • Prebuilt agent Ready to use, we do not start from scratch. We start from an agent prepared for this process and configure it with your rules, your systems and your way of working.
  • Best practices Built in from day one.The agent's instructions incorporate the process practices we have applied when automating it in different organizations.
  • Configured by experts Functional and technology consultants.Specialized consultants support the configuration, integration, testing and go-live of the agent in your operation.
  • Agent platform Workforce AI.The agent runs on Workforce AI, GIITIC's own platform that centralizes security, permissions, audit, usage and administration of all your agents.
  • Process experience Processes + technology + enterprise software.Behind every agent are years of experience implementing enterprise software and automating processes in companies across Latin America.
  • GIITIC software ecosystem The tools the agent needs. We integrate with your current systems and, if you are missing one, the GIITIC ecosystem provides the modules the agent needs to query and act.
The current challenge

How it is done today, and why it is no longer enough

Much of what gets planned is lost in execution: in a survey by The Economist Intelligence Unit of 500 senior executives, companies missed an average of 20% of their strategic objectives because of poor implementation.

  • Progress in spreadsheets
  • Chasing updates
  • Delays seen too late
  • Committees that read numbers
  • Actions without results
  • Forgotten agreements

Smart Plan Tracking agent

Smart Plan Tracking agent, an artificial intelligence agent

I'm an artificial intelligence agent trained by experts, ready to use and built with best practices. I am here to track the execution of your action plans: I verify the progress of each commitment, detect delays and deviations, measure whether the results move your indicators and recommend adjustments in time. Anything that changes the plan, I escalate to you with the evidence.

Prebuilt, but adaptable to each organization.

How I work

  1. I detectCommitments and deadlinesI identify each action, owner and date in the plan and in the agreements from meetings.
  2. I understandActual progressI read the status of tasks, projects and indicators in your systems and ask for what’s missing.
  3. I analyzeDelays and deviationsI compare progress and results with the plan and measure how far each target is.
  4. I decideRecommended adjustmentsI propose rescheduling, reassigning or reinforcing actions based on the cause and impact.
  5. I executeReminders and alertsI remind each owner before the due date and alert the plan owner.
  6. I verifyCompletion and resultsI confirm commitments are met and move the indicator; I escalate what changes the plan.

Automate tasks and connect your information so your team responds sooner and your processes move forward without waiting.

    • Shows the plan’s progress up to date, without waiting for the cutoff or the committee
    • Detects overdue and at-risk commitments as soon as they happen
    • Asks each owner for updates without anyone having to chase them
    • Arrives at the committee with the status and proposed adjustments already prepared
  • Higher quality

Standardize the work and control every step so your information is reliable and your results are consistent.

    • Tracks every commitment, not just the ones reviewed in the meeting
    • Measures whether actions move the indicators, not just whether they were done
    • Keeps traceability of every update, delay, cause and adjustment
    • Applies the same alert criteria to every area
  • Lower costs

Reduce rework, errors and manual work so your operation delivers more with the same resources.

    • Reduces the time spent consolidating progress in spreadsheets

How work evolves

Your team moves from operating to deciding

The capacity the agent frees up goes to analysis, decisions, relationships, exceptions, improvement and innovation.

  1. No more low-value manual tasks

    • Writing to and calling each owner to ask for progress
    • Consolidating the plan’s status in spreadsheets
    • Preparing progress presentations for each committee
    • Reviewing the minutes to remember the commitments
    • Discovering delays at the monthly meeting
  2. The team adds value to the operation

    • Deciding adjustments with up-to-date information
    • Removing the obstacles that hold back commitments
    • Evaluating which actions actually move results
    • Improving the quality of plans and their targets
    • Supporting the owners who need it most
  3. Your team's professional growth

    • Strategy execution managerUses the agent’s alerts and recommendations to unblock commitments and prioritize adjustments.
    • Agent supervisorReviews the quality of the tracking, adjusts alert thresholds and governs the agent’s knowledge.
    • Performance analystLinks actions and indicators to show which initiatives deliver results.
Enterprise knowledge

Agents are only as good as the knowledge and context they handle

It is one of the great challenges of enterprise artificial intelligence (AI): an agent without clear rules, reliable data and business context makes mistakes or stops. That is why knowledge is prepared, governed and improved as part of the project.

  • Action plans, objectives, targets and indicators
  • Owners, dates and dependencies of each commitment
  • Alert thresholds and escalation rules

The knowledge this agent handles

  • Calendar of committees and follow-up cutoffs
  • Minutes and agreements from follow-up meetings
  • History of progress, delays, causes and adjustments

60%

of AI projects without AI-ready data will be abandoned through 2026, according to Gartner. Gartner, “Lack of AI-Ready Data Puts AI Projects at Risk,” February 2025

Base systems for agents

If you do not have the base system, we provide reduced versions of GIITIC modules with the capabilities the agent needs to work.

  • Applications and ERP
  • APIs and web services
  • Databases and files
  • MCP (Model Context Protocol), when applicable

An agent needs software tools to query information and carry out actions. Without them, it stays a conversation. That is why we cover both paths: connecting to what you already have or giving you what you are missing.

Frequently asked questions

Questions about Smart Plan Tracking

What plans can the artificial intelligence agent track?
Strategic, sales, operational or improvement action plans, initiatives and committee commitments, as long as they have owners, dates and targets on record. The types of plans and systems are confirmed when the project is scoped.
Does the agent change the plan on its own?
No. It sends reminders, asks for progress, measures deviations and recommends adjustments; changes to targets, dates, owners or resources are approved by the plan owner. Designing new strategies or plans is not its role.
How does it know whether an action is working?
It links each action to the indicator it should improve and compares the measured result with the target. If tasks are progressing but the indicator isn’t moving, it shows you with the evidence so you can decide.
Do I need GIITIC, or can I use my current systems?
You can use your systems. The agent integrates with your plan and indicator tools, project management, ERP, CRM and communication channels through APIs, services, files or MCP where applicable. If you don’t have the base system, we provide agent modules with the capabilities it needs.
How does it adapt to the way I track plans?
The agent is prebuilt, but our consultants configure it with your plans, indicators, alert thresholds, cutoff frequency, owners and escalation rules, and test it with your cases before putting it to work.
Who controls what the agent does?
Workforce AI centralizes permissions by agent, human approvals, traceability of alerts and recommendations, statuses and errors, auditing and usage control. You define what it reminds, what it updates directly and what it escalates.
How long does implementation take, and how much does it cost?
It depends on your systems, your plans, the number of commitments and your tracking rules. Starting from a prebuilt agent avoids developing from scratch. First we talk and scope the project with you; then we prepare the proposal. We don’t publish prices.
What happens to coordinators and managers?
They stop chasing updates and consolidating spreadsheets, and spend their time unblocking commitments, deciding adjustments and improving plans. The agent expands their capacity; it doesn’t leave them without control.
