Smart Billing

See how billing is evolving in organizations with AI agents.

  • Prebuilt agent Ready to use, we do not start from scratch. We start from an agent prepared for this process and configure it with your rules, your systems and your way of working.
  • Best practices Built in from day one.The agent's instructions incorporate the process practices we have applied when automating it in different organizations.
  • Configured by experts Functional and technology consultants.Specialized consultants support the configuration, integration, testing and go-live of the agent in your operation.
  • Agent platform Workforce AI.The agent runs on Workforce AI, GIITIC's own platform that centralizes security, permissions, audit, usage and administration of all your agents.
  • Process experience Processes + technology + enterprise software.Behind every agent are years of experience implementing enterprise software and automating processes in companies across Latin America.
  • GIITIC software ecosystem The tools the agent needs. We integrate with your current systems and, if you are missing one, the GIITIC ecosystem provides the modules the agent needs to query and act.
The current challenge

How it is done today, and why it is no longer enough

On average, organizations lose 8.6% of their contract value due to shortcomings in how they manage and execute contracts, according to World Commerce & Contracting and Deloitte. Manually billing what was agreed in each contract is one of the places where that value is at stake.

  • Scattered terms
  • Usage to consolidate
  • Manual calculation
  • Charges never billed
  • Closes that drag on
  • Credit notes and disputes

Smart Billing agent

Smart Billing agent, an artificial intelligence agent

I'm an artificial intelligence agent trained by experts, ready to use and built with best practices. I am here to review what you agreed with each customer —contracts, purchase orders, rates and terms—, match it to actual usage and deliveries, calculate what should be billed and generate the invoice on time. Anything without supporting evidence or outside your rules, I escalate to you with a proposal.

Prebuilt, but adaptable to each organization.

How I work

  1. I detectWhat needs to be billedI identify the contracts, orders, deliveries and milestones that reach their billing date or cutoff.
  2. I understandContracts and termsI interpret rates, minimums, price adjustments, discounts, milestones and terms in the contract or purchase order.
  3. I analyzeUsage and deliveriesI match hours, usage and deliveries to what was agreed and detect anything missing or unsupported.
  4. I calculateCharge calculationI calculate fixed and variable charges, extras, prorations, taxes and advances according to your rules.
  5. I executeInvoice generationI generate the invoice in your ERP with its supporting documents, ready for electronic issuance and delivery.
  6. I verifyControl and escalationI compare amounts with previous periods, keep an audit trail and escalate exceptions to you with my proposal.

How work evolves

Your team moves from operating to deciding

The capacity the agent frees up goes to analysis, decisions, relationships, exceptions, improvement and innovation.

  1. No more low-value manual tasks

    • Searching for current contracts, addenda and rates
    • Consolidating hours, usage and delivery reports
    • Calculating charges and price adjustments in spreadsheets
    • Keying in invoices one by one
    • Chasing confirmations and approvals from other departments
  2. The team adds value to the operation

    • Resolving exceptions with the context the agent prepares
    • Analyzing unbilled charges, credit notes and recurring disputes
    • Agreeing on clear, billable terms with sales and operations
    • Adjusting rules and tolerances to increase automatic billing
    • Anticipating revenue and receivables with up-to-date information
  3. Your team's professional growth

    • Billing and exceptions analystResolves unsupported charges, discrepancies and the cases the agent escalates.
    • Agent supervisorReviews the quality of invoices, adjusts rules and governs the agent’s knowledge.
    • Revenue assurance analystUses the agent’s audit trail to find unbilled charges and improve contracts.
Enterprise knowledge

Agents are only as good as the knowledge and context they handle

It is one of the great challenges of enterprise artificial intelligence (AI): an agent without clear rules, reliable data and business context makes mistakes or stops. That is why knowledge is prepared, governed and improved as part of the project.

  • Billing policies, cutoffs and frequency by customer
  • Agreed rates, price lists, minimums and discounts
  • Rules for price adjustments, prorations, advances and balances
  • Terms and milestones of contracts and purchase orders

The knowledge this agent handles

  • Sources and formats for usage, hours and deliveries
  • Taxes and invoice requirements by customer type
  • Tolerances and approval rules for charges

60%

of AI projects without AI-ready data will be abandoned through 2026, according to Gartner. Gartner, “Lack of AI-Ready Data Puts AI Projects at Risk,” February 2025

Integration

We integrate with your environment

We connect the agent with virtually any application, API, service or data source in your company, whether GIITIC or third-party systems.

Integrations this agent requires

  • ERP and billing systemYour ERP (SAP, Oracle or another) or GIITIC ERP: customers, orders, rates and invoice generation.
  • Contracts and purchase ordersContract repository or system, addenda and purchase orders received by email or portals.
  • Usage and deliveriesOperational, metering, time-tracking or dispatch systems that record what was actually delivered.

Base systems for agents

If you do not have the base system, we provide reduced versions of GIITIC modules with the capabilities the agent needs to work.

  • Applications and ERP
  • APIs and web services
  • Databases and files
  • MCP (Model Context Protocol), when applicable

An agent needs software tools to query information and carry out actions. Without them, it stays a conversation. That is why we cover both paths: connecting to what you already have or giving you what you are missing.

Frequently asked questions

Questions about Smart Billing

What types of billing can the artificial intelligence agent handle?
Contract-based, order- or delivery-based, milestone, recurring, and usage- or hours-based billing, with rates, minimums, price adjustments and discounts. Contract types, usage sources and documents are confirmed when the project is scoped.
What happens when a charge has no supporting evidence or doesn’t match the contract?
Nothing is billed outside your rules and tolerances. When supporting evidence is missing, there is a discrepancy with what was agreed or an amount is outside the expected range, the agent escalates the case to the person responsible with a proposal and the evidence; that person decides and the agent completes the invoice.
Does the agent issue the electronic invoice?
The agent generates the invoice in your ERP or billing system, and electronic issuance is done with the system you already use for it or with GIITIC Electronic Documents. Countries and requirements are confirmed when the project is scoped.
Do I need GIITIC ERP?
No. The agent integrates with your current ERP or billing system through APIs, services, files or MCP where applicable. If you don’t have the base system, we provide agent modules with the capabilities it needs.
How does it adapt to my contracts and billing policies?
The agent is prebuilt, but our consultants configure it with your rates, cutoffs, price adjustments, tolerances and approvals, and test it with your contracts before putting it to work. Your billing policies and contracts are the knowledge it needs; we help you maintain it with the Workforce AI tools.
Who controls what the agent does?
Workforce AI centralizes permissions by agent, human approvals, decision traceability, statuses and errors, auditing and usage control. You define what it bills on its own and what requires approval.
How long does implementation take, and how much does it cost?
It depends on your contracts, usage sources, systems, volume and rules. Starting from a prebuilt agent avoids developing from scratch. First we talk and scope the project with you; then we prepare the proposal. We don’t publish prices.
What happens to my billing team?
They stop searching for contracts, consolidating usage and keying in invoices, and spend their time on exceptions, analyzing unbilled charges, agreements with sales and operations, and process improvement. The agent expands their capacity; it doesn’t leave them without control.
