Smart Internal Knowledge

See how internal knowledge management is evolving in organizations with AI agents.

  • Prebuilt agent Ready to use, we do not start from scratch. We start from an agent prepared for this process and configure it with your rules, your systems and your way of working.
  • Best practices Built in from day one.The agent's instructions incorporate the process practices we have applied when automating it in different organizations.
  • Configured by experts Functional and technology consultants.Specialized consultants support the configuration, integration, testing and go-live of the agent in your operation.
  • Agent platform Workforce AI.The agent runs on Workforce AI, GIITIC's own platform that centralizes security, permissions, audit, usage and administration of all your agents.
  • Process experience Processes + technology + enterprise software.Behind every agent are years of experience implementing enterprise software and automating processes in companies across Latin America.
  • GIITIC software ecosystem The tools the agent needs. We integrate with your current systems and, if you are missing one, the GIITIC ecosystem provides the modules the agent needs to query and act.
The current challenge

How it is done today, and why it is no longer enough

Finding the information needed to work is still hard: in a Gartner survey of 4,861 employees, 47% said they struggle to find the information or data they need to do their jobs effectively.

  • Scattered documents
  • Outdated versions
  • Questions that wait
  • Interrupted experts
  • Inconsistent answers
  • New hires without context

Smart Internal Knowledge agent

Smart Internal Knowledge agent, an artificial intelligence agent

I'm an artificial intelligence agent trained by experts, ready to use and built with best practices. I am here to answer your team’s questions with your company’s knowledge: I search current policies, procedures and manuals, answer in plain language with a citation of the document, and respect each person’s permissions. What isn’t documented, I don’t make up: I escalate it to the person responsible and help document it.

Prebuilt, but adaptable to each organization.

How I work

  1. I detectQuestionI receive the question in chat, the portal or email and understand what the person needs to know.
  2. I understandContext and permissionsI identify who is asking, their role, their site and which documents they can access.
  3. I analyzeCurrent documentsI search policies, procedures and manuals, and use only the current version.
  4. I decideGrounded answerI choose what answers the question and detect when the documentation doesn’t cover it.
  5. I executeAnswer with sourceI answer in plain language with the citation and a link to the document.
  6. I verifyGaps and improvementI escalate what isn’t documented, log frequently asked questions and flag outdated documents.

How work evolves

Your team moves from operating to deciding

The capacity the agent frees up goes to analysis, decisions, relationships, exceptions, improvement and innovation.

  1. No more low-value manual tasks

    • Searching for documents in folders, emails and intranets
    • Answering the same questions over and over
    • Forwarding policies and manuals by email
    • Clarifying which version of a document is current
    • Interrupting experts for simple questions
  2. The team adds value to the operation

    • Keeping knowledge clear, current and free of contradictions
    • Resolving the questions that require judgment
    • Documenting what used to live only in people’s heads
    • Improving policies with the most frequently asked questions
    • Supporting people who join the company
  3. Your team's professional growth

    • Knowledge curatorOrganizes, updates and retires the documents the agent uses.
    • Agent supervisorReviews the quality of answers, adjusts sources and permissions and governs the agent’s knowledge.
    • Validating expertAnswers the escalated questions and approves new answers for their area.
Enterprise knowledge

Agents are only as good as the knowledge and context they handle

It is one of the great challenges of enterprise artificial intelligence (AI): an agent without clear rules, reliable data and business context makes mistakes or stops. That is why knowledge is prepared, governed and improved as part of the project.

  • Current internal policies, regulations and rules
  • Procedures, instructions and manuals for each department
  • Benefits, procedures and frequently asked questions from employees

The knowledge this agent handles

  • Owners of each document or topic
  • Access permissions by role, department or site
  • History of questions, approved answers and detected gaps

60%

of AI projects without AI-ready data will be abandoned through 2026, according to Gartner. Gartner, “Lack of AI-Ready Data Puts AI Projects at Risk,” February 2025

Integrations this agent requires

  • Document repositoriesSharePoint, Google Drive, an intranet or your document management system, with the current versions.

  • Directory and permissionsUser directory and permissions to answer only with what each person can see.

Base systems for agents

If you do not have the base system, we provide reduced versions of GIITIC modules with the capabilities the agent needs to work.

  • Applications and ERP
  • APIs and web services
  • Databases and files
  • MCP (Model Context Protocol), when applicable

An agent needs software tools to query information and carry out actions. Without them, it stays a conversation. That is why we cover both paths: connecting to what you already have or giving you what you are missing.

Frequently asked questions

Questions about Smart Internal Knowledge

What questions can the artificial intelligence agent answer?
Questions about policies, procedures, manuals, benefits, internal rules and how things are done at your company, based on the documents you define. Sources and topics are confirmed when the project is scoped.
What happens if the answer isn’t in the documents?
It doesn’t make one up. It says it didn’t find it, escalates the question to the person responsible with the context and, once the answer is approved, helps add it to the company’s knowledge.
How do I know the answer is correct?
Every answer cites the document and section it comes from, uses only current versions and flags outdated or contradictory documents so their owner can review them.
Does everyone see the same information?
No. The agent respects the permissions in your systems: each person gets answers based only on the documents they can access.
Do I need GIITIC, or can I use my current systems?
You can use your systems. The agent integrates with your document repositories, intranet and chat channels through APIs, services, files or MCP where applicable. If you don’t have the base system, we provide agent modules with the capabilities it needs.
Who controls what the agent does?
Workforce AI centralizes permissions by agent, human approvals, traceability of questions and sources, statuses and errors, auditing and usage control. You define which sources it uses, which topics it answers and what it escalates.
How long does implementation take, and how much does it cost?
It depends on your sources, topics, channels and volume of questions. Starting from a prebuilt agent avoids developing from scratch. First we talk and scope the project with you; then we prepare the proposal. We don’t publish prices.
Does it replace the experts in each department?
No. It stops interrupting them with the same questions and brings them only what requires their judgment; they validate the answers and keep the knowledge up to date.
